The Challenge
As a busy plant nursery, Riverside Horticulture runs on relationships. Their team takes a high volume of inbound and outbound calls every day: customers checking stock, trade clients placing orders, suppliers coordinating deliveries. Every one of those conversations needs to be captured against the right contact in their CRM. The problem was how that capture was happening. After each call, staff were manually writing a summary and entering it into ZULU, their CRM. It was time-consuming, prone to inconsistency, and easy to skip when the phones got busy. Important context was being lost, follow-ups slowed down, and client records were drifting out of sync with the actual conversations the team was having.
What we built
We connected their phone provider directly to a lightweight AI workflow. When a call ends, the transcription is picked up, passed through an AI that generates a clean, consistent summary of the conversation, and automatically logged against the correct contact in ZULU. All within a minute of the call ending. No manual steps, no staff intervention, no separate tool for them to learn or check. The system fits into their existing phone and CRM setup, so the experience for the team is simply: make or take the call, hang up, and the notes are already there.The Result
The team has hours of manual admin returned to them every week, client records are more complete and more consistent, and follow-up is faster because the context is ready the moment someone needs to act on it. For a team whose job is building strong, long-term relationships with their customers, that’s added up to better service without adding headcount.
How We Built It
This project is a good example of how we’re using AI to make AI engineering faster for our clients. The implementation work that would normally have taken 10 to 12 hours was completed in just under four, with Claude Code handling the heavy lifting on code while our engineer stayed in control of architecture, testing, and reliability. The result is the same quality of solution, delivered in less time, at lower cost to the client.
